FCm Travel Solutions' tailored travel management solutions combined with effective communication and implementation have transformed the way Hay Group book rail fares, reducing costs and streamlining procedure for the company.

Here's how we made it possible...

The challenges

Following the outcome of a cost review and company directive to reduce all supplier costs by 20-30 per cent, Hay Group sought FCm's expertise to reduce its overall travel spend. Hay Group's main priority was to contain escalating spend on rail fares and increased ticket volumes. With almost 3,500 rail bookings per annum, Hay Group wanted to streamline its booking and sourcing procedures with a system that provided increased visibility and accountability and subsequently improved traveller buying behaviour.

In the past, rail tickets were purchased in an ad-hoc fashion via different channels; either directly through FCm or often on the day of travel at the station. Because of the sheer bulk of rail fares being purchased and the diverse spread of UK office locations for the company, adherence to the company's existing policy also had caused a few issues for the company.

The solutions

FCm recommended Hay Group utilise the online rail booking tool, Evolvi, as a way of containing the company's rail spend. FCm managed the introduction and implementation of Evolvi into Hay Group's travel program, which resulted in an easy-touse and cost efficient rail booking solution.

How was the project executed?

FCm worked with Hay Group to implement and execute the new rail booking system as cost efficiently as possible.

Key to the success of this online project was FCm's well-honed account management skills and excellent understanding of Hay Group's company culture and cost parameters. The project required a comprehensive communications plan, which included roadshows, Webexs as well as targeted communiqués to key company rail users. FCm's online team and travel consultants were also on hand to assist Hay Group users.

Ongoing and regular communication via conference calls ensured all implementation challenges were addressed early in the execution phase of the project. FCm also provided a tailored online manual for Hay Group - FCm's Tips on Booking Rail. The manual was distributed to Hay Group's key travel bookers.

The results

Following implementation of the Evolvi online tool, Hay Group's adoption rates, without any formal training, reached 60 per cent within the first three weeks. They are currently at an impressive 85 per cent online adoption for rail as of March 2010, which is an excellent performance given there is no internal mandate or directive in place.

"Evolvi was rolled out in November 2009 across Hay Group offices in the UK. Hay Group has, until now, never used any form of online booking tool but the simplicity of Evolvi meant that little training was required and ultimately it has proved an extremely user-friendly system. With the reduced transaction fees involved when booking online we expect savings of between £10,000 to £15,000, depending on business volumes for the next 12 months. So far it's been a good decision for Hay Group with Evolvi being a cost effective and efficient way for our company to book rail travel."
