Our background with Atkins

Based in the Middle East,Atkins has been a client of FCm Travel Solutions for 18 months. The client is one of the world’s largest design, engineering and project management consultancies that delivers complex projects, ranging from skyscrapers to rail networks, for both public and private sector clients across the region.
Before partnering with FCm Travel Solutions, Atkins maintained a somewhat fragmented travel program across its offices in Dubai, Qatar, Bahrain, Oman, Saudi Arabia, Kuwait and UAE. While their main headquarters is in Dubai, the geographic spread of Atkins’ offices had led to difficulty monitoring and enforcing consistent processes and procedures across the region. To address this issue and to maximise savings, Atkins appointed FCm to consolidate their travel management program.

Here's how we made it possible

The first step for FCm was to identify the client’s travel behaviours and patterns, which were predominately based around staff air travel to Gulf Cooperation Council (GCC) states. FCm’s objective was to take a consistent approach to program consolidation for Atkins’ entire travel program across the Middle East. To improve booking processes and to drive travel policy compliance, FCm recommended the implementation of its online booking tool (OBT) across each of the client’s offices.

With offices spread across the region, the challenge was to drive travel policy consistency through the adoption of FCm’s OBT. FCm also needed to carefully manage  the change process across the different countries, as some offices had established relationships with local travel agencies.

Our solutions

Consolidated reporting

FCm took a proactive approach to managing the account and the sensitive changeover process. The first steps were to provide and consolidate monthly reporting and spend analysis to track the client’s budget, to track travel trends and peak travel periods, and to identify areas where savings could be achieved. By gaining greater visibility of Atkins’ spend with airlines, FCm was able to save them money by leveraging their combined regional volumes and negotiating better deals.

OBT implementation

As part of the process, FCm helped to drive online adoption to ensure flights were booked according to the client’s travel policy. With the majority of the client’s spend being day air travel to and from their local projects, FCm established a consistent approval process for both online and offline bookings. This encouraged the client’s travel bookers to follow the right processes and to gain management approval for travel upgrades when required. To help smooth the transition to new travel processes, FCm quickly built effective relationships with the client’s travel staff and also provided support to the travel bookers on the OBT. FCm also provided the consistency of having one team managing their account and driving internal compliance, while ensuring central points of contact were maintained at a senior and business level.

Around-the-clock support

With the Atkin’s executive team often needing to make or change bookings outside of regular business hours, FCm’s 24/7 services have been utilised for routine changes and to also provide emergency travel support.
